Marketing & Administrative Coordinator

itracks, an innovative technology products and services company, is seeking a talented Marketing and Administrative Coordinator, specializing in Hubspot CRM management and client communications. .  

The Marketing and Administrative Coordinator  will work primarily within Hubspot to support Sales, Marketing and Finance operations by managing updates and data entry, executing and analyzing marketing campaigns, and building automations, workflows, and data integrations to improve efficiency. 

This position is offered on an initial one-year term with possibility of extension to permanent.

Key Responsibilities:

1. HubSpot CRM Administration

  • Own and optimize the full HubSpot ecosystem including Sales, Marketing, and Service Hubs. 
  • Set up custom properties, pipelines, reports, and dashboards. 
  • Manage user roles, permissions, and training. 

2. Sales Enablement & Workflow Automation

  • Design and implement scalable sales sequences, lead routing workflows, and lifecycle stages. 
  • Support lead scoring, deal forecasting, and opportunity tracking. 

 

3. Marketing Campaigns & Nurturing

  • Build email campaigns, landing pages, and nurturing workflows aligned with buyer journey stages to support lead generation and nurturing. 
  • Collaborate with marketing to implement content and campaign automation. 
  • This will all be done in collaboration with Sales and Marketing team members who specialize in strategic communications. 

4. Administrative & Financial Tasks

  • Prepare and send invoices to clients for one-time and subscription-based services. 
  • Set up and manage monthly subscription billing reminders using HubSpot workflows. 
  • Monitor accounts receivable and follow up on overdue payments. 
  • Maintain accurate client records and update CRM with billing and payment information. 
  • Collaborate with the sales team to ensure accurate deal and subscription data. 

 

5. Reporting & Optimization

  • Analyze campaign performance and conversion metrics, offering solutions to improve performance 
  • Provide actionable insights to sales, marketing, and finance teams. 
  • Generate reports on lead generation, subscription deals, invoicing, payment status, and subscription revenue. 

 

6. Integration & Technical Implementation

  • Lead the integration of HubSpot with a 3rd-party accounting and subscription management platform (e.g., Chargebee, Stripe, QuickBooks etc.). 

 

Required Qualifications: 

  • Proven work experience with Hubspot (2+ years preferred), including: 
    • Marketing & Sales hubs 
    • Integration of 3rd party apps and SaaS platforms 
    • Creating sales and marketing automations and workflows 
  • Excellent communications skills: written and oral 
  • Strong understanding of B2B sales cycles, email marketing, and customer journey mapping 
  • Social media platform knowledge: experience managing social media platforms on a corporate level 
  • Digital advertising and analytics experience: Google Ads, Google Analytics, Facebook and LinkedIn ad platforms 
  • Knowledge and experience in SEO optimization 
  • Data gathering and analysis: must be able to recommend courses of action based on research 
  • Organizational: must be able to prioritize and coordinate multiple responsibilities 
  • Goal oriented: must be able to show measurable results 
  • Strategic thinking and problem solving

 

Bonus Points if you have.... 

  • Experience working in the SaaS or Market Research industries 
  • Hubspot certifications 
  • Familiarity with financial metrics (MRR, ARR, churn, etc.) 
  • Past success in collaborating across Marketing, Sales, Finance and Development teams 
  • Graphic Design experience 
  • Experience with the Adobe Creative Suite 

 

Work Arrangement Expectations
As part of your onboarding and training process, this role will require you to work onsite at our office for the first 30 days of employment. This initial in-office period is designed to support your integration into the team, provide hands-on training, and ensure you have the resources you need to succeed.

Following this 30-day period, and based on business needs and individual performance, you may become eligible for a hybrid work arrangement that combines in-office and remote work. Details of any hybrid schedule will be discussed with your manager at that time.
